ROLE AND RESPONSIBILITIES

The consumer representative performs multiple duties including greeting consumers and visitors, answering and routing calls, scheduling appointments, assisting with intakes, maintain consumer records, as well as reviews required documentation and checks eligibility. More importantly, the consumer Rep supports the mission and the vision of the Department.

 

Brief Outline of Duties:

1. Providing administrative support: Assisting with administrative tasks such as managing calendars, scheduling meetings, coordinating travel arrangements, and handling correspondence.

2. Document management: Organizing and maintaining documents, files, and records related to the LTSR program. This may include creating and updating spreadsheets, and databases, documenting and summarizing all meetings at LTSR “minute taking”, scanning documents into EHR, inventory list updated monthly, and or when a supply order is sent.

3. Communication and coordination: Facilitating communication between team members, stakeholders, and external parties. This may involve sending out meeting invitations, preparing agendas, taking meeting minutes, and distributing relevant materials.

4. Monitoring program progress: Assisting in tracking the progress of the LTSR program, including monitoring timelines, milestones, and deliverables. This may involve updating program management tools, generating reports, and communicating progress updates to the team.

5. Quality assurance: Assisting in ensuring the quality and accuracy of project documentation, reports, and deliverables. This may involve proofreading, editing, and formatting documents to meet established standards.

6. Organizational support: Providing general support to the LTSR team, such as ordering office supplies, coordinating equipment and facility maintenance, and managing invoices and expense reports.

7. Training and onboarding: Assisting in the onboarding process for new team members by providing orientation, training materials, and support. This may also include organizing training sessions or workshops for existing team members.

8. Attend all LTSR training and workshops that are provided to LTSR’s staff.

                          

9. Stakeholder management: Assisting in managing relationships with internal and external stakeholders, including clients, vendors, and partners. This may involve scheduling meetings, preparing materials, and facilitating effective communication.

10. Ad hoc tasks: Assisting with any other administrative tasks or projects as assigned by the LTSR Associate Director or team members.

 

Qualifications and Education Requirements

High School Diploma or GED, with experience in a similar administrative capacity.  Working knowledge of Microsoft Word and Excel required.

Must have physical ability to: A) Climb stairs; B) Sit for prolonged periods of time; C) Carry heavy documents; D) Kneel and bend.

 

WORK AUTHORIZATION/SECURITY CLEARANCE (IF APPLICABLE)

Must have an acceptable PA criminal history, FBI clearance and Child Abuse clearance done prior to hire.

This job operates in and around a number of commercial, office and residential environments.

 

POSITION TYPE/EXPECTED HOURS OF WORK

This is a full-time position. Days and hours of work are Monday through Friday, 8:00 a.m. to 4 p.m.
